Create an Optimal Enterprise Print Environment for Virtual Desktop Infrastructure Adoption

What does your corporate printing environment look like? Do you have a lot of different printers? Are they spread out over many locations? Maybe you have print servers too.

Here’s the good news. Your print environment isn’t unique. Many companies have a big mix of print hardware.

But not all the news is good. Diverse hardware can lead to problems. The variety is hard to support. For instance, more printer models leads to more printer drivers. That gives IT more to manage.

Is Microsoft’s Universal Print a Truly Modern Print-Management Solution?

Although breakups can be hard, we always love to see companies urging people to part ways with their print servers. We’ve been showing enterprises how to do that for a decade. For PrinterLogic, “Eliminate print servers!” is a battle cry we’ve been sounding for years.

And now that enterprise software giants like Microsoft are starting to break up with print servers, it’s a good time to look at solutions like Microsoft Universal Print and answer some important questions.

  • Does Universal Print and it’s features meet the demands of modern enterprise organizations?
  • How does Universal Print differ from a true SaaS print management solution?
  • Does it bring high availability to print environments?
  • Can it provide platform-agnostic print management?

 

It’s Tied to Microsoft’s 365 ecosystem

Universal Print requires organizations to commit to Microsoft’s 365 cloud platform (formerly Office 365). They also have to be Windows 10 Enterprise or Education customers running the latest build. And they need to be using Azure AD too. That’s an awful lot of boxes to check. 

Some cutting-edge companies might meet all those criteria off the bat. However, it also means that they’re tied to that ecosystem for the foreseeable future. In modern workplaces where flexibility is key, that’s not ideal.

PrinterLogic’s print-management software is platform agnostic. You can certainly use it to leverage all the benefits of Azure AD or Windows 10. But you’re not locked into either one.

 

WAN-dependent availability

The Achilles heel of many cloud-based printing solutions is the WAN. If there’s no Internet connection, computers and printers can’t talk to the cloud. If they can’t talk to the cloud, no one can print. Microsoft Universal Print isn’t immune to that limitation.

In fact, its FAQ explicitly states that Universal Print is not for high-availability scenarios.

By contrast, PrinterLogic SaaS uses a direct IP print management model. Workstation clients relay their jobs directly to printers. So even if the WAN goes down, all of your users can print without interruption. You get more uptime from less infrastructure.

 

Print job data doesn’t stay local

Print availability isn’t the only WAN-related drawback. Another problem with Universal Print’s approach is that print data has to cross the WAN to reach it. That means every single print job leaves your local network to get queued in Microsoft 365 data storage.

On top of being a serious security risk, that can really slow printing speeds. It also forces print traffic to fight for WAN bandwidth. That can lead to all your vital cloud traffic bottlenecking at the WAN.

With PrinterLogic SaaS, print jobs remain safely on the LAN. Furthermore, there’s no centralized print queue. That adds security by completely removing an easy, data-rich target for malicious actors.

 

A limited feature set…

For now, Universal Print is still in its preview phase. As a result, it’s missing important features like pull printing and mobile printing. There are also no badge release options for secure printing. In other words, it’s a few steps backward for companies that have been working to lock down and modernize their print environments.

PrinterLogic, on the other hand, has had functionality like advanced reporting, versatile secure release printing and easy-to-use mobile printing for years. There’s even a self-service portal for one-click printer installation. All these are mature features that tap into the inherent strengths of our serverless print management.

 

… and equally limited driver management

Because Microsoft Universal Print is so new, the promise of easy driver management is just that—a promise. Currently, only select Canon printers can claim to have “Universal Print Ready” status. Support for other makes and models of MFPs remains to be seen.

That’s not the case with PrinterLogic SaaS. It has a single repository that consolidates all the drivers in your print environment. What Is Hoteling and Why Does It Call for a Flexible Print Environment?

Around the world, we’re in a period of massive change. To say that the modern workforce is adapting is the understatement of the year. As employees slowly return into the office, there’s more interest in dynamic workplace models like hoteling. Those new models create new challenges for IT.

First, let’s answer an important question: What exactly is hoteling?

 

What is hoteling?

Hoteling is a form of desk sharing. It’s based on the idea of how hotels assign rooms to their guests. In a hoteling workspace, employees don’t have a permanent desk. Instead they reserve desks in advance based on the days they plan to be in the office.

A variant of hoteling is the “hot desk.” That’s more like a first-come-first-served model.

Understandably, the shared office desk approach is already popular with companies that have highly mobile workforces. Today, however, more and more employees are working from home part-time. Therefore, traditional organizations are eyeing the benefits of hoteling workspaces too.

 

What does hoteling mean for IT?

Like anything that involves roaming users, hoteling can present challenges for IT. One tricky area is printing. If you have mobile workers, getting printers to those users can be like trying to deliver a package to a moving target.

In other words, it can be hit or miss. And when you miss, that’s when the support tickets flood in.

Some IT departments try to solve things with the “throw everything at the wall” approach. That involves giving users access to every possible printer they might come across.

Unfortunately, that can backfire. For starters, it can present users with too much choice. It’s easy for them to select the wrong device and send their print job to a distant printer. Furthermore, it can lead to driver problems if there are different printer models.

Using print servers as your print management solution can limit visibility you need over the print environment. Getting basic information on print activity could involve manually combing through spooler event logs or creating custom PowerShell scripts. Deriving solid data on consumables usage will depend a lot on the device manufacturer and model. Translating that raw info into real-world costs won’t be easy.
 
And if your print management solution is conventional direct IP, performing a print audit could take forever. It will be incredibly time-consuming, if not downright impossible, to gather detailed information on every device and then extrapolate larger trends from that.

Defining a Serverless Printing Infrastructure

Almost a decade ago, my Co-Founder and I established PrinterLogic with the mission to eliminate print servers off the face of the earth. The SPI model not only eliminates print servers, it eliminates all servers needed for an enterprise print management architecture and enhances the capabilities of your current printing infrastructure. PrinterLogic SaaS and Cloud-based Identity Providers (IdP)

PrinterLogic, the world leader in Serverless Printing Infrastructure (SPI), has announced General Availability of Version 1 of its integrations with the cloud-based IdPs Okta and Azure AD. For PrinterLogic SaaS customers, this release provides support for SAML 2.0-based federated authentication. 

PrinterLogic gives organizations the ability to eliminate print servers and provides a centrally managed direct IP print infrastructure. PrinterLogic publishes two distinct web pages and installs a client on end-user workstations to communicate with the server and facilitate printing.

To function properly all these elements have the need for user authentication and authorization. This blog explains where the integration points are.

No more Active Directory

The PrinterLogic web-based Admin Console enables administrators to centrally manage both printer and driver deployments by users and groups. This console supports role-based access control (RBAC) so admins have access rights only to the information they need. Traditionally, PrinterLogic SaaS has relied on Active Directory and LDAP to authenticate admins and automate deployment of printers to end users.

PrinterLogic’s Self-service Installation Portal enables end users to perform routine printer installs by themselves with a single click, and traditionally relies on their AD identity to grant them access to only the printers they are allowed to install.

Windows and Mac clients also traditionally rely on the user’s AD identity to perform their tasks such as installing and removing printers and/or new profiles.

What is a cloud-based IdP?

Cloud-based IdPs allow IT admins to deliver SaaS applications securely and to the right person. Identity management also supports Multi-factor Authentication (MFA) and Single Sign-on (SSO). 

Authentication and Authorization are both common terms in the world of Identity and Access Management (IAM). Cloud-based IdP is a subset of this larger IAM market space.

Authentication is the act of validating that users are who they claim to be, while Authorization is the process of giving the user permission to access a specific resource or function. Authorization is often used interchangeably with Access Control or Client Privilege.

SAML (Security Assertion Markup Language) is an XML-based standard used for exchanging authentication and authorization data between an IdP and a Service Provider (SP). The SP is typically a cloud-based application, and in Figure 1 below the SP is PrinterLogic.

In an SSO system, a user logs in once to the system and can access multiple systems without being prompted to sign in for each one.

PrinterLogic SaaS support for IdP

PrinterLogic SaaS is part of the Okta Integration Network (OIN) as both a SAML- and Provisioning-enabled Application. It is also part of the Microsoft Azure App Gallery. 

Online documentation is available for Azure AD and Okta to help IT teams configure PrinterLogic for integration with these services.

Figure 1 illustrates the integration between PrinterLogic SaaS and a cloud-based IdP.

How IdPs and PrinterLogic work together

The flow of communication between the the IdP and PrinterLogic is as follows:

  1. The end user logs into PrinterLogic SaaS Self Service Portal via a web browser.
  2. PrinterLogic SaaS generates a SAML authentication request and redirects the browser to the IdP’s SSO portal.
  3. The end user enters their credentials and requests authentication from the IdP.
  4. The IdP parses the SAML request and authenticates the end user.
  5. The IdP generates an encoded SAML response and returns it to PrinterLogic SaaS.
  6. PrinterLogic SaaS authorizes the client and grants access to the Self Service Portal.

There are two separate sign-in flows through which authentication can be handled by SAML, both of which are supported by PrinterLogic SaaS. 

  1. The first known as an SP-initiated flow, occurs when the user attempts to sign in to a SAML-enabled SP via its login page. Instead of prompting the user to enter a password, an SP that has been configured to use SAML will redirect the user to the IdP which will then handle the authentication and redirect the user back to the SP as a verified user.
  2. The second flow is known as an IdP-initiated flow. This occurs when the user logs into the IdP and launches the SP application by clicking its icon from their home page. If the user has an account on the SP side, they will be authenticated as a user of the application and will generally be delivered to its default landing page, which in the case of PrinterLogic is the Self-service Installation Portal page.

PrinterLogic SaaS IdP integration also supports the System for Cross-domain Identity Management (SCIM), which allows for the automation of user provisioning. When changes to identities are made in the IdP, including create, update, and delete, they are automatically synced to the SP in real-time according to the SCIM protocol.

A look at Version 1’s functionalities

Version 1 of IdP integration supports the following core functionalities of PrinterLogic SaaS:

  • Support for Windows and Mac workstations
  • Access to the Admin Console and full RBAC
  • Full Reporting
  • Deployments by User or Group
  • Portal Security by User or Group
  • User login via IdP Website
  • Adding/Removing IdP Groups

The Security Risks of Enterprise Printing and How to Create a Secure Printing Environment

Among IT professionals, it’s no secret that printers represent an overlooked security threat. When the research firm Quocirca surveyed 240 enterprise organizations across the United States, the UK, France and Germany for its 2018 report on managed print services, around half of the respondents stated that print security was part of their overall information security strategy.

If just US respondents were singled out, that number rose to 70%.

Strangely, though, only 30% of all the respondents claimed to be fully confident that their print infrastructure was safeguarded against internal and external threats.

In other words, despite understanding the importance of secure print management and secure printing, the vast majority acknowledged their enterprise print environment was still at risk. What explains that gap between awareness and action in print security?

Migrating from Google Cloud Print to Centrally Managed Direct IP Printing

Through PrinterLogic’s SaaS admin interface, IT admins can setup printer deployment rules that will automatically deploy printers to Chromebooks when users login. Existing Google Cloud Print printers will be silently converted to direct IP printers and made available to end user’s per existing auto-deployments. End-users can also be empowered to self-install printers through the Chrome OS client extension. Users can find printers they need and install them without having to call the helpdesk. Printers are deployed locally to the Chromebook and print jobs are rendered and sent directly to the printer. 

Step 3: Keep Print Jobs on the Local Network

You are now ready to print directly to printers without sending print jobs to the cloud. Chromebook users won’t even notice anything changed—they can continue to print using the native Chrome OS printing interface, but now the print jobs will be spooled locally and sent directly to the printer. No more cloud printing, and no print servers required.
